1. Who we are and what this notice covers
This notice explains how Aegis Club handles personal information when you visit aegis-club.com, send an enquiry through our request-access form, contact us by email, or subscribe to our newsletters. Aegis Club is a trade desk based in New York that supports European product and service companies exploring business in the United States, and selected US companies seeking partners in Europe. The operator and data controller is Joana Amorim, trading as Aegis Club, 61 Lenox Avenue, New York, NY 10026, USA. Contact: joana@aegis-club.com. This notice covers the website, enquiries and newsletters only. Information handled under a signed client engagement is governed by that engagement's terms.
2. Information we collect
- Request-access form: your name, company, email address, country, sector and goals. Optionally, your website and how you heard about us.
- Email: whatever you include in your message and later correspondence.
- Newsletter signup: your email address, your consent to receive newsletters and, optionally, the sectors you want to hear about.
- Technical data: when you load the site, our hosting and font providers receive standard request data such as your IP address, the page requested and browser information. We do not use analytics, advertising or social-media trackers on this site.
Please do not send passwords, payment details, sensitive personal information, or information about other people that is not needed for your enquiry.
3. How we use information and on what legal basis
| Purpose | Information | Legal basis (GDPR/UK GDPR, where it applies) |
|---|---|---|
| Responding to your enquiry, assessing fit, and discussing a possible scope of work | Form and email data | Steps taken at your request before a contract (Art. 6(1)(b)); where you write on behalf of a company, our legitimate interest in responding to business enquiries (Art. 6(1)(f)) |
| Sending the newsletters you chose | Email address, sector choices | Your consent (Art. 6(1)(a)), which you can withdraw at any time |
| Measuring newsletter opens and clicks in aggregate | Anonymised engagement data | Our legitimate interest in understanding whether our content is useful (Art. 6(1)(f)) |
| Running the website securely | Technical data, server logs | Our legitimate interest in security and performance (Art. 6(1)(f)) |
| Keeping records of engagements and of requests you make under this notice | Correspondence, request log | Legal obligation and legitimate interest (Art. 6(1)(c) and (f)) |
Assessment of enquiries is done by a person. We do not make automated decisions about you and we do not use your information for profiling.
4. Who receives information
We use the following service providers, who process information on our instructions and under their own data-processing terms:
- Netlify hosts the website and keeps short-term server logs for security and operation.
- Netlify Forms receives request-access submissions and delivers them to us by email.
- Google Workspace (Gmail) holds our email.
- Brevo sends our newsletters and holds our contact records (CRM).
- Google Fonts serves the site's typefaces. Google states that font requests include an IP address, the requested URL and browser headers, and that the Fonts API sets no cookies.
We do not sell personal information, and we do not share it with anyone for advertising or profiling. We may disclose information if required by law or to protect our legal rights.
5. Newsletter measurement
Our newsletters contain a tracking pixel and tracked links so we can see, in aggregate, how many recipients open an email or click a link. We have enabled Brevo's anonymous tracking, so this information is not linked to you individually. You can read any newsletter without loading images, which blocks the pixel.
6. International transfers
Aegis Club is based in the United States, so information you send from the EU, UK or elsewhere is processed here. Our providers also process data in the EU and the United States. Where European data-protection law applies, transfers rely on the European Commission's Standard Contractual Clauses in our providers' data-processing agreements and, for providers certified under it, the EU-US Data Privacy Framework. Contact us for details of the safeguards that apply to your information.
7. How long we keep information
| Information | Kept for |
|---|---|
| Website enquiry with no follow-up conversation | 12 months, then deleted |
| Correspondence and CRM records for an active conversation or engagement | While it is active, then 12 months, then deleted |
| Newsletter contact | Until you unsubscribe |
| Unsubscribed address | Kept on a suppression list so we do not email you again, until you ask us to delete it |
| Form submission copies | Stored by Netlify until we delete them |
| Server logs | Short period set by our hosting provider, for security |
8. Your choices and rights
You can unsubscribe from newsletters at any time using the link in every email or by writing to joana@aegis-club.com. Opt-outs are processed promptly and in any case within 10 business days.
Depending on the law that applies to you, you may have the right to access, correct or delete your information, to restrict or object to its use, to receive a copy in a portable format, and to withdraw consent. Withdrawing consent does not affect processing that took place before.
Send requests to joana@aegis-club.com. We may ask you to confirm your identity. We respond within one month; if a request is complex we may take up to two further months and will tell you why.
If you are in the EU or UK and are unhappy with how we handle your information, you can complain to the data-protection authority in your country, or in the UK to the Information Commissioner's Office. We would appreciate the chance to resolve the issue first.
9. Security
We protect the accounts that hold your information with two-step verification and restricted access, and we limit what we collect to what the enquiry or newsletter needs. No method of transmission or storage is completely secure, which is why we ask you not to send sensitive information through the site.
10. Cookies and Do Not Track
The website itself does not set cookies for tracking or advertising. Because we do not track visitors across sites, we do not respond to browser Do Not Track signals; there is nothing to switch off.
11. Children
The website and our services are for businesses and are not directed to anyone under 16. We do not knowingly collect information from children.
12. Other websites and changes to this notice
Links on this site lead to services with their own privacy notices. We update this notice when our practices change; the effective date above identifies the current version, and we will flag material changes on this page.
